Set Up Rules


  1. All exhibitors may enter the cafeteria at the Indian Hill Middle School the morning of the event at 8 AM. There is a mad rush for the dock at 9:30 am so be prepared for that. Please use the loading dock down the maintenance drive. After unloading you must quickly move your vehicle to the main parking lot. Parking in the spaces along the maintenance drive is not permitted.  You will be towed if you leave you car at the dock.
  2. You will be furnished a colorful tablecloth, 8’ straight table, two chairs and a table placard. All exhibitors must restrict their displays to their assigned tables. No extending in the aisle or other exhibitor’s space.
  3. There may be no more than 3 staff members at your booth at any time. Each camp will be provided with one 8’ table and 2 chairs. Music for videos, etc. Must be kept at a level that does not annoy your neighbors. We expect all exhibitors to show respect to the other exhibits and Camp Fair guests.  Candy and other food items are discouraged.
  4. Light breakfast and lunch items are served throughout the event. Each exhibit will receive 2 complimentary breakfast/lunch passes. Additional food items can be purchased. We provide coffee, orange juice, pop, donuts, bagels, pizza, cookies and salad.  Your food pass will be provided to you when you check in to the event.
  5. Camp Guides are provided at No charge only to those exhibitors who have purchased DISPLAY ads. All others may purchase a book for a nominal fee of $6.
  6. Use of live animals in exhibits is strictly prohibited.
  7. “Different” event “decorations” must be cleared with one of the co-chairs two weeks prior to the event.
  8. Special needs must be communicated to a co-chair at least two weeks prior to the event.
  9. You may not dismantle your booth prior to 3PM for any reason.
  10. If you do not adhere to all of the rules, you may be asked to leave (without any refund) and will not be permitted to attend this event again.
